Pingo is a business registered in Amsterdam, Netherlands. We provide software that helps sports clubs communicate with players, organize matches, and manage their communities through WhatsApp, Telegram, and connected platforms.
This policy explains how we handle personal data when you use our website and services.

When Pingo processes player information on behalf of a club, the club generally acts as the data controller and Pingo as its data processor. Pingo acts as the controller for its own business operations.
2. Information We Collect
Depending on how you use Pingo, we may process:
- Personal information: Names, WhatsApp numbers, Telegram identifiers, and profile details.
- Messages: Conversations with Pingo and messages from connected club groups.
- Padel activity: Match participation, court bookings, player ratings, preferences, and alerts.
- Club information: Club details, administrator information, settings, and connected accounts.
- Technical data: Message identifiers, timestamps, and diagnostic information necessary to operate the service.
Information may come directly from users, clubs, messaging platforms, or connected services such as Playtomic.
3. How We Use Your Information
We use personal data to:
- Answer player questions and find relevant games or courts.
- Send requested alerts and match updates.
- Monitor connected club groups for relevant playing opportunities.
- Recommend suitable matches and WhatsApp groups.
- Manage club accounts and subscriptions.
- Maintain the security and reliability of our services.
Pingo uses artificial intelligence to interpret messages and generate responses. Relevant information may be processed by external AI providers.
When processing data on behalf of clubs, we follow their instructions. For our own operations, we rely on applicable legal grounds, including contractual necessity, legal obligations, legitimate interests, and consent where required.
4. WhatsApp, Playtomic and Other Services
Pingo integrates with third-party platforms, including Meta/WhatsApp, Telegram, and Playtomic.
When a club connects a WhatsApp or Telegram group, Pingo may process messages posted in that group, including messages not addressed directly to Pingo. Clubs are responsible for informing their members and establishing an appropriate legal basis.
Pingo does not have general access to users' private conversations outside its connected accounts and groups.
We use service providers, including Amazon Web Services and AI providers, to operate Pingo. We share personal data only where necessary to provide our services, meet legal obligations, or protect our systems.
We do not sell personal data.
5. Data Storage and Security
We retain personal data for as long as necessary to provide the relevant services, maintain player preferences and activity history, meet legal obligations, or resolve disputes.
Retention depends on the type of information, its purpose, and applicable club instructions. Information that is no longer required is deleted or anonymized, subject to applicable legal and backup-retention requirements.
We use technical and organizational measures to protect personal data against unauthorized access, loss, and misuse.
Some providers may process information outside the European Economic Area. Where required, we use appropriate safeguards under the GDPR.
6. Your Rights
Under the GDPR, you may have the right to access, correct, delete, restrict, or receive a copy of your personal data, object to certain processing, and withdraw consent where applicable.

We generally respond within one month. Where a club controls the relevant data, we may refer your request to that club or assist it with the response.
